At Vietnam Adventure Hub (VAH), we don't just run tours; we act as your dedicated on-ground arm in Vietnam. This policy outlines our commitment to Travel Agencies, Tour Operators, and DMCs, ensuring a seamless, high-standard partnership that protects your brand and delights your clients.
1. Confidentiality & Brand Integrity
We operate as an extension of your business. Your brand loyalty is our priority.
- Invisible Operations (White-Label): We work behind the scenes. Our guides wear neutral attire or your provided uniform. All welcome signage, menus, and logistics carry your branding, never ours.
- Strict Non-Solicitation: Your clients remain your clients. We strictly prohibit the collection of guest data for marketing. Information is used exclusively for insurance, permits, and safety.
- Marketing Support: Partners gain access to our unbranded, high-resolution media repository to help you close sales and create stunning presentations.
2. Booking & Operations
Efficiency and safety are the pillars of our collaboration.
- B2B Portal: Submit requests through our dedicated portal or official email. Confirmation is finalized once the deposit is received.
- Safety Data: For high-intensity activities like Trekking, Kayaking, or SUP, we require guest details (Health history, diet, and IDs) at least 7 days prior to departure.
- Mandatory Insurance: To ensure peace of mind, all guests must have travel insurance that specifically covers outdoor adventure activities.
3. Cancellation & Flexible Amendments
We understand that plans change. Our policy is designed to be fair and transparent.

Force Majeure: In cases of natural disasters or government closures, VAH will facilitate date changes or refunds (minus actual costs incurred).
4. Safety & Risk Management
Adventure requires expertise. We set the bar for safety in Vietnam.
- Field Authority: VAH lead guides have the ultimate authority to alter routes or cancel activities if weather or guest health poses a risk.
- Equipment: All gear (PFDs, helmets, ropes) meets international standards and undergoes rigorous regular inspections.
- Liability: Partners are responsible for ensuring guests sign the VAH Liability Release & Waiver before start.
5. Our Shared Force for Good
We invite our partners to join us in practicing responsible, "Green" tourism.
- Leave No Trace: We enforce zero-waste protocols in all forests and waterways.
- Community First: We prioritize hiring local staff and sourcing local produce.
- Cultural Sensitivity: We ask partners to brief guests on local etiquette, especially in spiritual sites like Thien Mu pagoda or border regions like Ha Giang.
6. Resolution & Support
We stand by the quality of our service.
- 72-Hour Window: Any grievances should be reported within 72 hours of the tour's end.
- 24-Hour Response: VAH commits to a professional resolution process, responding to all inquiries within 24 business hours based on verified field reports.
